Learn to use the Kanban view for daily content management and moving content through workflow stages.

The Kanban view is Lyyli's main view for daily content management. Here you can see all your workspace content across different workflow stages and manage the progress from ideas to publication at a glance.

Selecting the right workspace

The Kanban view always shows one workspace's content at a time. Make sure you have selected the correct workspace from the dropdown at the top of the sidebar before you start working. You can switch workspaces quickly from the same menu.

Kanban columns

  1. Lyyli Ideas – AI-generated content suggestions from idea sources and trends. These are raw ideas you can develop further.
  2. Idea – approved and manually added ideas. Ideas wait here for prioritisation and further development.
  3. To Do – prioritised and scheduled content ready to be worked on. This column tells your team what to do next.
  4. Draft – work-in-progress drafts. Content is being edited, commented on and approved.
  5. Published – finished and published content. Here you can see what has already been published and when.

Content card details

Each content card in the Kanban view shows the most important details at a glance:

  • Title – the content name or working title.
  • Type – content type (e.g. blog post, social media post, newsletter).
  • Channels – which channels the content is intended for.
  • Project – which project the content belongs to.
  • Deadline – the publication or completion deadline.
  • Comments – the number of comments on the card.
  • Assignee – who the content is assigned to.

Filtering content

The toolbar at the top of the Kanban view has several filters to narrow the visible content:

  • Only mine – shows only content assigned to you.
  • All projects – narrow content to a specific project.
  • All types – filter by content type (e.g. only blog posts).
  • All priorities – show only content of a certain priority.
  • All assignees – narrow to a specific assignee's content.

Selecting multiple items

  1. Hover over a content card – a checkbox appears in its top-left corner.
  2. Select the desired cards by clicking the checkboxes.
  3. An action bar appears with options to move, delete or bulk-edit the selected items.

Creating new content

  1. Click the + New content button in the toolbar or the + button in a column.
  2. Give the content a title and select a content type.
  3. Fill in the description (Brief) and any notes (Notes) that guide the AI during content creation.
  4. Save – the new content appears in the selected column and is ready for further work.

Lyyli Ideas

  1. The Lyyli Ideas column fills automatically when your workspace idea sources are configured. The AI monitors sources and suggests content ideas.
  2. You can also fetch new ideas manually by clicking the Fetch ideas button in the column.
  3. Accept interesting ideas by moving them to the Idea column or dismiss them by deleting.

Moving content between stages

  1. Click and hold a content card.
  2. Drag the card to the desired column and release it.
  3. The content status updates automatically based on the column. For example, moving a card to Draft changes its status to draft.

Tips

💡 Tips for effective Kanban use

1. Keep the To Do column clean. Only move content there that is genuinely next in line. A list that is too long blurs priorities. 2. Use filters daily. The "Only mine" filter helps you focus on your own responsibilities without noise. 3. Take advantage of projects. Group campaign or theme-related content into projects to keep the big picture under control. 4. Check Lyyli Ideas regularly. The AI continuously generates new suggestions from idea sources – pick the best ones before they go stale.

Common issues

⚠️ The Kanban view is empty

If no content appears in the Kanban view, check two things: 1) Make sure you have selected the correct workspace from the sidebar dropdown. 2) Check that an active filter (e.g. project, type or assignee) is not hiding content. Reset the filters to see all workspace content.
